Dear TeachUsTech’ers,

Have you ever been sure that someone emailed you, but when you look in your inbox the message seems to have vanished? Maybe it’s a receipt, a bank message, a travel confirmation, or a note from a family member.

The good news is that most of the time the email is still there — it’s just in a different place than you expect. In this guide, we’ll show you how to search for a missing email in Gmail on your computer and how to check a few common hiding spots.

These newsletters are made to be printed and kept nearby, so feel free to mark them up and write your own notes in the margins. If you have a friend that would appreciate this but don’t know how to forward emails yet, you can view our very first newsletter here on “How to Forward an Email”.

What You’ll Need

• A computer with internet access
• Your Gmail account already signed in
• A web browser such as Chrome, Safari, Edge, or Firefox

Follow these steps:

Step 1 – Open Gmail and look for the search box

Open Gmail in your web browser. At the top of the screen, you’ll see a long search box. This is where you’ll type whatever you remember about the missing email.

Step 2 – Search for what you remember

Click once in the Gmail search box and type something you remember from the email.
Good things to try are:

• The sender’s name
• Part of their email address
• A word from the subject line
• A keyword from inside the message

In this example, the search is “Set Up Uber.” After typing your search, press Enter on your keyboard.

Step 3 – Look through the search results

Gmail will now show emails that match your search. Look through the list carefully. Check the sender name, subject line, and date to find the correct message.

When you see the email you want, click it once to open it.

Step 4 – Check Primary, Promotions, and Social

Sometimes Gmail sorts emails into different tabs instead of leaving them in the main Primary inbox.

Check these tabs if needed:
• Primary
• Promotions
• Social

If you can’t find the email in Primary, click Promotions and Social to look there too.

Step 5 – Click More, then check Spam and Trash

If you still can’t find the email, it may be in Spam or Trash. These folders are hidden lower down in Gmail’s left-hand menu.

Here’s what to do:

  1. In the menu on the left side of Gmail, click More.

  1. More choices will appear. Look for Spam and Trash and click each one to check for the missing email.

If you find the missing email in Spam or Trash, open it and move it back to your inbox.

Step 6 – Check All Email

Another useful place to look is All Mail. This shows almost every email in your account, including emails that were archived.

Click All Mail in the left-hand menu, then use the search box again if needed.

Helpful Tips

• Try different search words if your first search doesn’t work.
• Use simple words you are sure were in the email.
• If you still can’t find the message, ask the sender to send it again.

Quick Recap
  1. Open Gmail and use the search box.

  2. Type a name, email address, subject, or keyword.

  3. Look through the results.

  4. Check the Primary, Promotions, and Social tabs.

  5. Click More, then check Spam and Trash.

  6. Check All Mail if the email still isn’t showing.

With these steps, you’ll be able to track down most emails that seem to have disappeared.
